OFF-SITE PERIODS AND REQUEST FOR INCREASE FOR PERIOD ABROAD

PhD students may undertake research and training periods off-site, both in Italy and abroad.

All PhD students are granted an additional amount equal to 50% of the scholarship (on a monthly basis), calculated with reference to the minimum gross monthly amount established by Ministerial Decree 247/2022 (€1,353.58), for the period spent carrying out research activities abroad. This amount is made available to PhD candidates according to the procedure indicated in point 1.

All off-site periods must be recorded in the PhD Notebook as indicated below in points 1 and 2.

1. OFF-SITE PERIODS FOR RESEARCH AND TRAINING ACTIVITIES

PhD students may carry out research and training activities off-site, both in Italy and abroad, within the limits set by the Regulations and any additional provisions.

PhD students holding a scholarship are entitled to an increase of 50% of the scholarship for periods spent abroad, provided that such periods do not exceed the duration indicated in the relevant call, subject to the availability of additional funding. In any case, the increase is granted only for continuous periods of no less than thirty days. Periods abroad are optional and may be split, provided that each request for the increase complies with the minimum continuous stay of 30 days.
The period must be authorized by the Supervisor and the PhD Program Coordinator.

For periods abroad exceeding the maximum duration indicated above, and in any case up to a maximum of 12 months (or 18 months in the presence of a co-supervision agreement) out of the 36-month program, any additional funding will be granted only if financial resources are available. The period must be authorized by the Board of Professors. During off-site periods, PhD candidates are required to stay in contact with their Supervisor and to undergo the required evaluations, according to the procedures established by the Board of Professors.

PhD students are also provided with a budget for research and training activities amounting to €1,624.30 per year. Any funds not spent during the first or second year will be made available in the following year. Eligible expenses charged to this budget must be authorized by the Supervisor. For expenses and reimbursement procedures, PhD students must contact their Department, following its specific rules and forms.

REQUIRED PROCEDURES

BEFORE DEPARTURE
The following documentation must be uploaded before departure to the PhD Notebook, in the section “Research Periods in Italy or Abroad” (attach a single PDF document):

  • Authorization form;
  • Invitation letter from the host institution/university abroad, addressed to the PhD student and the Supervisor.

WITHIN 10 DAYS OF RETURN
The following documentation must be uploaded (in PDF format) to the PhD Notebook, in the section “Research Periods in Italy and Abroad”:

  • Report on the activities carried out, signed by the PhD students;
  • Declaration from the host institution abroad certifying the actual period spent abroad (dates and activities).

The advance payment of the increase amounts to 70% of the amount due.
The balance corresponds to the remaining 30%.

If the dates entered in the PhD Notebook do not match those indicated in the uploaded documents, the Office will not proceed with the payment of the increase and will contact the PhD candidate for clarification.

NOTE
PhD students must personally verify with the relevant local health authority any requirements for extending healthcare coverage or the need to obtain private health insurance. All required documentation must be submitted before the start of the stay for insurance purposes (civil liability and accident coverage) and in order to receive the scholarship increase.

2. INTERNATIONAL MOBILITY PROGRAMMES

International mobility programmes refer to periods spent abroad with a PhD co-supervision agreement or specific mobility calls (e.g., Erasmus). Mobility periods must be recorded in the PhD Notebook, in the section “International Mobility Programmes.”

Mobility programs that are not co-supervision agreements are managed by the International Office – Teaching and Student Services Division. 

REQUIRED PROCEDURE

  • BEFORE DEPARTURE Upload the Learning Agreement (signed PDF) to the PhD Notebook.

  • WITHIN 10 DAYS OF RETURN In order to obtain recognition of the period, upload a certificate of attendance or stay signed by the host institution abroad.

NOTE
If the mobility period coincides with a period abroad for research and training activities, it is necessary to first enter the mobility period in the PhD Notebook and then the research period, indicating for the latter “International Mobility – Yes.”
